How to choose the right receipt template
Every receipt format above is built around a specific use case. The right template for you depends on three things: what kind of transaction you’re documenting, what level of detail you need, and where you’re going to use the receipt. Here’s a quick guide to picking the right one.
For food and dining expenses
The restaurant template handles itemized food orders with server name, table number, tip line, and tax. It’s the right choice for sit-down meals, casual dining, and most business meal scenarios. For fast food and counter service, the homepage tool’s fast food template covers drive-thru orders, combos, and mobile pickups with simpler formatting and order numbers instead of table numbers.
For business travel
Business travel typically requires three receipt types: lodging, transportation, and meals. Use the hotel template for multi-night stays with room rate, taxes, and incidentals broken out by day — the standard format for expense reimbursement. The taxi/rideshare template handles Uber, Lyft, and traditional cab fares with the distance, time, and surge breakdown that modern expense systems expect. For driving, the gas station template documents fuel purchases for IRS mileage substantiation, and the parking template covers garage and lot fees including validated discounts.
For retail purchases and returns
The retail store template is the general-purpose option for clothing, electronics, and most chain store purchases — with SKU codes, return policy language, and transaction barcodes. For weekly grocery shopping, the grocery template handles long itemizations with UPC codes, loyalty savings, and the reduced tax rates that apply to food in most US states.
For medical and prescription expenses
The pharmacy template is specifically built for HSA and FSA reimbursement, which require itemized receipts under IRS Publication 502. It handles Rx numbers, NDC codes, prescriber information, copay structure, and the prescription tax exemption that applies in most US states. This is also the right template for medical expense tax deductions on Schedule A.
For everything else
When none of the specific templates fit, the generic template on the homepage gives you a blank slate with all the standard fields — store name, date, items, totals, payment. It’s the most flexible option and works for any transaction type you need to document.
Why we build templates instead of one generic tool
It would be easier to ship a single “receipt generator” with a blank form. But real receipts have format-specific details that matter for authenticity. A hotel folio shows multi-night room charges with daily taxes — not the same shape as a restaurant tab. A pharmacy receipt shows NDC codes and copay structure — fields that don’t exist on a parking ticket. A Target receipt has a 16-digit TC# transaction barcode at the bottom; a Walmart receipt has a different store-ID format.
Building dedicated templates means each one has the right fields, the right defaults, and the right realism details for its specific use case. That makes the resulting receipts useful for legitimate purposes — replacing lost receipts for expense reimbursement, supporting HSA/FSA claims, documenting business travel — rather than looking obviously generated.
